POSITION SUMMARY:  
The Executive Assistant is the eyes and ears on the ground and the first impression of the Chief Marketing Officer and Creative Director to the outside world, which comprises of clients, corporate executives, visitors, and B2B partners.  They will provide strong support and management in an open creative studio environment, as well as assist other team members as needed. The ideal candidate for this role will have supported a Chief Creative Officer or other C-Suite Executive in the past, has the ability to think quick on their feet, proactively solve problems, utilizes professional discretion, is highly organized, and doesn’t mind light receptionist/PA, and general office administrative tasks.  He/she must be smart, polished, trustworthy, and mature.
 
ESSENTIAL JOB RESPONSIBILITIES:  
  • Manage calendars by scheduling meetings or calls across multiple time zones, accepting or declining invitations using sound judgment, and keeping key people apprised of any changes
  • Manage and book domestic and international travel for the CMO, Creative Director and possibly other team members
  • Create and submit expense reports in a highly organized and timely manner
  • Monitor incoming e-mails and calls to prioritize requests, print meeting materials, and stay alert of important action items
  • Manage and allocate AMEX Purchase-card expenditures every month and submit to Studio Manager for approval
  • Help devise communication/response strategies to clients and corporate executives
  • Ability to work with both the Studio and other EAs/Departments and bridge needs between the two
  • Ability to be proactive, resourceful, and productive
  • General office duties such as maintaining kitchen and office supplies, and maintaining filing system
  • Run daily coffee and lunch errands for CMO and Creative Director
  • Prepare meetings by booking rooms, setting up video teleconferences, and providing refreshments or catering as needed
  • Greet guests and visitors accordingly
  • Assist other Studio members with project-related tasks as needed
  • Partner with Studio Manager to instill a positive and fun Studio culture
DESIRED KNOWLEDGE, SKILLS & EXPERIENCE:
  • Minimum 10 years EA/Administrative experience
  • Bachelor’s degree preferred
  • Proficient in Mac applications (Outlook, Excel, Powerpoint, Keynote)
  • Familiarity with Adobe Creative Suite is a plus but not required
  • Strong organizational skills, including ability to prioritize
  • Professional mature demeanor and proactive approach
  • Ability to interface with all levels of the organization
  • Ability to think and act independently
  • Ability to exercise sound judgment when making decisions
  • Work overtime as required
  • Strong work ethic
  • Strong attention to detail
  • Exceptional communication skills, both verbal and written
  • Prior experience working in Advertising/Studio environment is a plus
